Gas Safety Certificate Reminders for Landlords: Never Miss a Renewal

The gas safety check is the compliance job that comes round every year, without fail. Miss it and you are putting tenants at risk and breaking the law. The fix is simple: know the rules, then set reminders far enough ahead to book an engineer.

The rules in plain English

According to gov.uk and the HSE, if your rental property has gas appliances or fittings you must:

Always read the current guidance yourself; this article is a summary, not legal advice.

Why a reminder matters

Twelve months goes quickly, especially with several properties on different dates. Engineers get booked up, particularly in autumn and winter when boilers are working hardest. You also need to arrange access with the tenant, who may need notice.

HSE guidance allows the check to be carried out up to two months before the deadline while keeping the original expiry date, so booking early doesn't cost you months. (Check the HSE page above for the exact conditions.)

A reminder schedule that works

When What to do
60 days before expiry Contact your engineer and get a date
30 days before Confirm access with the tenant in writing
Day of check Get the record from the engineer
Within 28 days Give the tenant a copy and note the date you did
Same day File the record with the property's documents

Two reminders, at 60 and 30 days, give you a buffer if the first booking falls through.

Ways to set reminders

Calendar app. Add two alerts per property. Free and simple; the weakness is that the certificate itself lives somewhere else.

Spreadsheet. One row per property with expiry dates and a formula for days remaining. Works well if you open it regularly.

Your agent. If you use a managing agent, confirm in writing who is responsible for booking.

A landlord compliance app. Stores the certificate and its expiry date together and sends reminders automatically.

Disclosure: we make Landlord HQ for iPhone. Its compliance vault stores Gas Safety, EICR, EPC, HMO licence and PAT records for each property and notifies you 60 and 30 days before anything expires. It also does room-by-room inspections with timestamped PDF reports. Get Landlord HQ on the App Store.

The other certificates to track alongside gas

While you're setting up gas reminders, add the others:

Proving you did it

If something goes wrong, you'll want to show the check was done on time and the tenant received a copy. Keep:
